1. Who We Are

Edmora is the developer and operator of the Edmora Education platform, a school/college management system used by educational institutions to manage student and staff records, attendance, fees, examinations, and communication between students, teachers, and administration.

The App is provided to you by your educational institution, which uses Edmora as its management software. Your institution controls which students and staff have accounts and what information is entered into the system.

2. Information We Collect

2.1 Account Information

When your institution creates your account, we store information necessary to identify you and manage your enrollment or employment, including your name, username, roll number/employee ID, program/department, semester or position, and contact details (phone number, email) where provided.

2.2 Academic and Administrative Records

Depending on your role, the App gives you access to records your institution maintains, including:

• Attendance records
• Fee and payment history
• Examination schedules and results
• Course materials and subject assignments
• Leave requests and approvals (staff)
• Complaints, support tickets, and announcements

2.3 Camera

Teachers are required to take a photo of the class at the moment attendance is submitted, for administrative headcount verification. This photo is uploaded and stored securely, accessible only to authorized staff. The App does not access the camera for any other purpose, and never accesses your photo gallery.

2.4 Location

When a teacher submits attendance, the App may check the device’s approximate location to confirm the submission was made on or near campus. This is a background verification check only — it does not track your movements, does not run when the app is closed, and is only collected at the moment of that specific action.

2.5 Biometric Authentication

If you enable fingerprint or face unlock for faster app access, this is handled entirely by your device’s own operating system (Android Biometric API). Your fingerprint or facial data never leaves your device and is never sent to or stored by Edmora. We only receive a simple “authentication succeeded/failed” result from your device.

2.6 Push Notification Token

If notifications are enabled, your device registers a token with Firebase Cloud Messaging (a Google service) so we can deliver alerts (e.g., attendance marked, new announcement, fee due). This token identifies your device for delivery purposes only.

2.7 Documents

Where applicable, the App may display or allow upload of official documents relevant to your enrollment (e.g., identity documents, certificates) as required by your institution’s admission or HR process.

3. How We Use Information

We use the information collected to:

• Operate core features of the App (attendance, fees, exams, communication)
• Verify identity and secure your account
• Send you notifications relevant to your academic or employment record
• Allow your institution’s authorized staff to manage records and respond to requests
• Maintain the security and integrity of the platform

We do not use your data for advertising, and the App does not display third-party ads.

4. How Information Is Shared

• With your institution: Your data is visible to authorized staff at your institution (e.g., teachers, administrators) as necessary for their role — for example, a teacher can see attendance for their own class; administrative staff can see fee records.
• We do not sell your personal data to any third party.
• Service providers:We use Google Firebase solely for push notification delivery. We do not share your academic or personal records with Firebase or any other third party beyond what’s necessary for that specific function.
• Legal requirements: We may disclose information if required by law or to protect the rights, safety, or property of Edmora, your institution, or others.

5. Data Security

• Login credentials and session tokens are stored using encrypted, device-level secure storage (Android Keystore), not plain text.
• The App blocks screenshots and hides its content from the recent-apps switcher to prevent sensitive information (fees, personal documents, grades) from being visible to others with access to the device.
• All communication between the App and our servers is encrypted (HTTPS).

6. Data Retention

We retain your information for as long as your account is active with your institution, and afterward as required for legitimate academic, administrative, or legal record-keeping purposes, consistent with your institution’s policies.

7. Your Rights

You may contact your institution’s administration or Edmora directly to request access to, correction of, or deletion of your personal information, subject to your institution’s record-keeping obligations.

8. Children’s Privacy

The App is intended for use by students, faculty, and staff of registered educational institutions and is not directed at children under 13 independent of their institution’s use of the platform. Any student accounts are created and managed by the institution, not by the child directly.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with an updated “Last updated” date.
